No On-Site Data Intake

Our website does not use user accounts, online contact forms, or direct digital intake systems. We do not capture or store your personal information through any automated forms on this site.

Information You Voluntarily Provide

We provide a downloadable PDF form on our website that you may choose to fill out and submit to us voluntarily via email. When you submit these forms, we collect the following information:

  • Identity Data: First name, last name, and year of birth.
  • Contact Data: Email address and physical home address.
  • Emergency Contact Data: Name and contact details of your designated emergency contact.
  • Preference Data: Shirt size.

Automated Data Collection (Google Analytics)

We use Google Analytics to collect standard internet log information and details of visitor behavior patterns. This helps us understand how visitors interact with our site (such as tracking which pages are visited most often or how many times a PDF is downloaded).

• Traffic Data: This system tracks metrics like your browser type, device type, operating system, the pages you view, and the date and time of your visit.

• IP Anonymization: This data is processed in a way that does not directly identify anyone. Google Analytics anonymizes IP addresses to protect your identity.

• In compliance with Québec law, all tracking, profiling, and analytics technologies are deactivated by default. No tracking cookies are placed on your device, and no analytics data is collected, until you explicitly provide your consent by clicking "Accept" on our cookie consent banner. You can change your mind, modify your preferences, or withdraw your consent at any time by clicking the "Cookies" link located in the footer of any page on our website.

• This data is processed by Google, possibly outside Quebec, and kept for at most 14 months.

How We Use Your Information

We use the data submitted via our PDF form and our analytics tools for the following purposes:

  • To process your registration, application, or request.
  • To communicate with you regarding your submission.
  • To ensure your safety by maintaining emergency contact details where applicable.
  • To fulfill specific logistical requests, such as event apparel sizing.
  • To analyze website traffic so we can improve our user experience.

We will never sell, rent, or trade your personal information to third parties.

Data Security and Storage

Because your PDF information is submitted via email, it is stored on our secure email servers and restricted digital files. We implement appropriate technical and organizational security measures to protect your personal data against unauthorized access, loss, or alteration. Please note that while we take rigorous steps to protect your data once received, no method of transmission over the internet or email is 100% secure.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected or to comply with legal, regulatory, or internal policy requirements. Once the data is no longer required, it is securely and permanently deleted from our email servers and systems.

Third-Party Links

Our website may contain links to external websites. We are not responsible for the privacy practices or the content of those third-party sites. We encourage you to read the privacy policies of any website you visit.
